Tool accounting system

The system is designed to record the tools taken by workers, with the possibility of assigning them to the facility where they will be used.

The accounting system consists of worker and tool identifiers, their readers and the accounting software:

  1. Employee e-cards , pendants. Cards can be personalised or not, and can also be used for access control at facilities, automatic tabulation, urban transport or other purposes. For use with NFC phones, the internal chip of the cards must comply with NTAG requirements.

2. Tool identifiers (e-stickers, pendants, screw-on tags, screw-in tree tags, etc.). For use with NFC phones, the internal chip of the cards must comply with NTAG requirements.

3. Accounting system

The central computer records employee cards and contact details, as well as material assets: company code, name, description, photograph, etc., and the persons responsible for certifying the transfer of tools.

The project manager, warehouseman or other responsible person has an NFC tag reader – either an NFC phone or an e-tag reader connected to a computer with software installed to capture the transmission of tools. There may be many such readers, all of which communicate via the internet with the mainframe database.

Once all the staff, tools and responsible persons have been registered on the central computer (server), the system is ready to work. The employee’s card is scanned by phone and sent to the server, which checks whether the card is valid and, if so, sends the employee’s name and surname. Next, the NFC tag of the tool is read and again sent to the server, which checks the situation of the tool and generates a message on the phone (tool name). If there is a need, the tool can be assigned to an object (a list of objects is then downloaded from the server together with the tool name).

Benefits of the Accounting System:

  1. You can see where a tool is, whether it’s available, who’s using it (on a computer or on a mobile phone);
  2. Reports on the effectiveness, frequency, etc. of tool use
  3. Employee cards can be used for automatic tabulation, registration of arrivals at a site, and adding work.

Indicative prices:

  1. The prices of cards, e-tags depend on the material, the digital and visual information to be stored, the working temperature, the material of the tool, the working distance, the quantity and range from 1€ to 5€.
  2. The price of the scanner for the computer is 90 Eur, an existing NFC phone is suitable (most of the current smartphones have this function).
  3. Software for NFC mobile phone: €800 – €2,000, depending on the number of workplaces, workers and tools, and the functionality of the software.
